When to close lost
Got a contact from the customer to reject the project.
Customer declined the estimate and did not request quote again.
Customer did not take action to the quotation and did not response even after several approaches from us.
Expired Quotation
Go to Quotes and check if a quotation is expired or not. Customer cannot order online with expired quotes. In this case sales person can extend the expiry date and at the same time, inform the customer to make judgement for the order.

Actions to close the project
Update Project Master on Air Table
Archive Asana
Update HubSpot deal
Set Xero quotation closed lost
Set Xero invoice (if any) void
Update Air Table
Go to Air Table and open Project Master
Choose the project to Close Loss by changing the status "Archived"
Do not delete Sales and Cost of the project.

Update HubSpot deal
Go to Hubspot and open the sales pipe lien of deal. Choose the project to archive and drag & drop to CLOSED LOST

Select the project to archive
If any undone task remains, delete the task.
Choose pulldown mark next to the project name and select Archive Project.

Set Xero quotation closed lost
Go to Xero and open the quotation of the relevant project.
Set the status of the quotation "Closed Lost"
Set Xero Invoice void
Usulally invoices are created after getting order, but just in case if an invoice already exists, void the invoice.
